About the Role

arenaflex is currently seeking a CPC Processor I – Customer Support to ensure the accurate and timely handling of release of information account issues for both internal and external customers. This fully remote, call center-based position is ideal for professionals who excel at customer communication, enjoy problem-solving, and take pride in maintaining the highest standards of professionalism and confidentiality.

As a frontline representative of arenaflex, you will be the voice our customers trust when they need critical information about medical record requests. Your ability to handle inquiries with empathy, accuracy, and efficiency will directly influence the experience of patients, insurance providers, attorneys, and healthcare partners who rely on arenaflex for secure data exchange.

Position Details

  • Position Type: Full-Time, Remote (Call Center Environment)
  • Schedule: Wednesday through Sunday, 11:00 AM – 7:30 PM
  • Compensation: $15.00 – $18.00 per hour (based on location, experience, and skills)
  • Reports To: Customer Support Supervisor

Key Responsibilities

As a CPC Processor I at arenaflex, you will play a vital role in our customer support operations. Your day-to-day responsibilities will include, but are not limited to:

  • Customer Interaction Excellence: Answer and conduct business on the telephone while maintaining exceptional customer service standards, dedicating 100% of your focus to call-based interactions.
  • Release of Information Processing: Handle incoming calls related to the release of information (ROI), providing accurate and timely responses to inquiries from patients, insurance companies, attorneys, and other authorized parties regarding medical record status.
  • Multi-Channel Inquiry Resolution: Review, research, resolve, and respond to inquiries received via telephone, email, or written correspondence, ensuring every interaction is handled with precision and care.
  • Thorough Documentation: Document all calls, inquiries, and resolutions in detail within the appropriate areas of arenaflex software systems, creating a clear audit trail for every customer interaction.
  • Process Adherence: Follow all departmental and site-specific processes and procedures to ensure consistency, compliance, and quality across all customer engagements.
  • Performance Standards: Meet and maintain the department's productivity and quality assurance expectations, consistently delivering work that meets or exceeds established benchmarks.
  • Policy Compliance: Adhere to all arenaflex company policies and procedures as posted or communicated by management, including those related to data security and patient privacy.
  • Confidentiality Maintenance: Maintain strict confidentiality by keeping all information encountered within the boundaries of your role, safeguarding sensitive patient and organizational data at all times.
  • Professional Relationships: Cultivate a high level of professionalism and good rapport with co-workers and members of management, contributing to a positive, supportive team environment.
  • Open Communication: Maintain open lines of communication with fellow employees and management regarding any problems, complaints, incidents, or concerns, reporting issues immediately when they arise.
  • Training and Direction Compliance: Perform work in accordance with the training and direction provided, and adhere to facility-specific procedures as outlined by arenaflex.
  • Continuous Learning: Attend mandatory employee in-service meetings, training sessions, and professional development opportunities as directed.
  • Attendance Reliability: Maintain an acceptable attendance record and report to work as scheduled, demonstrating your commitment to the team and our customers.
  • Additional Duties: Perform other duties as assigned, remaining flexible and adaptable to the evolving needs of arenaflex and our clients.

Essential Qualifications

To be considered for the CPC Processor I position at arenaflex, candidates must possess the following:

  • Educational Background: High school diploma or equivalent from an accredited institute recognized by the State Department of Education.
  • Communication Skills: Friendly, professional manner of communication with strong customer service skills that create positive customer experiences.
  • Phone System Experience: Demonstrated experience with multi-line phone systems is required.
  • Technical Proficiency: Computer proficiency with knowledge of Microsoft Office (including Word and Excel) at an intermediate to advanced level, with at least one year of experience preferred.
  • Organizational Skills: Ability to stay organized while working quickly in a high-volume production environment, with strong attention to detail.
  • HIPAA Compliance: Passing score on the annual Introductory HIPAA examination (testing administered annually in accordance with employee review).
  • ROI Certification: Required to take and pass a 90-day ROI Certification course with a score of 85% or higher.

Preferred Qualifications

While not required, the following experience will make you an exceptional candidate:

  • Prior experience in data entry, medical records, healthcare, insurance claims processing, or proof reading/editing of documents.
  • Familiarity with healthcare information systems and electronic health records.
  • Experience working in a remote call center environment.
  • Bilingual capabilities (a plus, but not mandatory).

Health and Safety Requirements

To ensure the safety of patients and staff, many of arenaflex clients require post-offer health screenings and proof or completion of various vaccinations, such as the flu shot, Tdap, and COVID-19. Any requests for exemption from these requirements will be reviewed by arenaflex Human Resources on a case-by-case basis. Depending on the state in which you will be working, exemptions may be available based on disability, medical contraindications, pregnancy or pregnancy-related medical conditions, and/or sincerely held religious beliefs.

COVID-19 Vaccination: With very limited exceptions (medical conditions or sincerely held religious beliefs that prohibit vaccination), one of the requirements for this role is that you be fully vaccinated against COVID-19, except in states where legally prohibited to enforce such mandates.

Remote Work Requirements

For this remote position, you will need to provide:

  • A high-speed internet connection (subject to applicable expense reimbursement requirements).
  • A dedicated work environment free from distractions where you can maintain focus and confidentiality.
