Position Overview

The Authorization Specialist – Data Entry role is a critical component of arenaflex’s Utilization Management team. This position supports the prior‑authorization workflow by accurately entering, tracking, and routing medical and insurance documentation. The specialist works in a fast‑paced, high‑volume environment, handling thousands of faxes and keystrokes daily while maintaining strict compliance with healthcare regulations and internal policies. This is a 12‑month contract‑to‑hire opportunity, offering a competitive hourly rate of $16.00 and a comprehensive benefits package.

Key Responsibilities

  • Receive, triage, and distribute incoming faxes to the appropriate internal teams within arenaflex’s HealthPlan network.
  • Perform high‑speed data entry (minimum 10,000 alphanumeric keystrokes per hour) to update authorization requests in the Utilization Management System.
  • Maintain accurate and up‑to‑date records of all authorization and referral documentation, ensuring compliance with policies, guidelines, and regulatory standards.
  • Assist the utilization management team by tracking the status of authorizations, documenting medical history, diagnoses, and prognoses, and forwarding necessary information to clinical reviewers.
  • Support the intake department by streamlining the intake process, reducing turnaround time for fax distribution, and improving overall workflow efficiency.
  • Correct data entry errors as identified, and perform quality‑control checks to guarantee data integrity.
  • Stay current on healthcare authorization processes, medical terminology, insurance policies, and arenaflex’s internal procedures.
  • Participate in cross‑functional collaboration with Concurrent Review, Behavioral Health, Medicare, and other specialized teams, ensuring seamless communication across all seven days of operation.
  • Adhere to performance metrics, including processing 3,500–4,000 faxes per day and delivering faxed documents to the appropriate teams within 1–2 hours of receipt.
  • Perform any additional duties assigned by supervisors, contributing to continuous improvement initiatives and team success.

Essential Qualifications

  • Typing Proficiency: Must achieve a minimum of 60 WPM (50–60 WPM) on a standardized typing test; the test result must be attached to the application.
  • High school diploma or equivalent (required).
  • Open availability to work any shift, including overtime, weekends, and holidays; ability to cover the following schedule windows:
    • Monday–Friday: 6 am – 7 pm CST
    • Saturday: 7 am – 5 pm CST
    • Sunday: 7:30 am – 4:30 pm CST
  • Demonstrated reliability and punctuality in a remote work environment.
  • Basic understanding of medical terminology and health‑insurance concepts (preferred but not mandatory).
  • Ability to thrive in a fast‑paced, high‑volume setting while maintaining accuracy and attention to detail.

  • 1–12 months of data processing, clerical, or administrative experience, especially within a healthcare or insurance context.
  • Retail or customer‑service background that showcases adaptability to variable schedules and high‑pressure environments.
