Responsibilities

As a Procurement Specialist – Data Entry Clerk, you will be responsible for the following key tasks:

  • Manage assigned requisitions and source materials or services from existing vendors whenever possible, ensuring compliance with budget and organizational policies.
  • Process orders that require manual intervention, including standing orders, blanket orders, new vendor requests, and service contracts, with attention to accuracy and timeliness.
  • Review purchase requisitions for compliance with budget and organizational policies, identifying areas for improvement and implementing changes as needed.
  • Identify and select potential vendors for services or supplies based on availability, price, and quality, ensuring the best value for blithequark.
  • Assist in evaluating new vendor requests and determine their suitability for approval, providing recommendations to management as needed.
  • Administer purchase orders from initial request through completion, ensuring accuracy and timeliness, and maintaining accurate documentation of sourcing decisions.
  • Utilize automated materials management systems, including electronic data interchange (EDI) and vendor portals, to streamline procurement processes and improve efficiency.
  • Research products or services as needed using reference sources to ensure informed purchasing decisions, providing feedback and updates to stakeholders on outstanding requisitions.
  • Maintain accurate documentation of sourcing decisions with attention to price, quality, and delivery timelines, ensuring confidentiality of sensitive information related to staff, patients, and the organization.
  • Foster effective communication and collaboration with management, staff, and vendors to improve department efficiency and achieve procurement goals.

Skills and Qualifications

To be successful in this role, you will need to possess the following skills and qualifications:

  • Data Entry: Proficient in data entry software and systems, with attention to accuracy and attention to detail.
  • Supply Chain: Understanding of supply chain principles and practices, with experience in procurement and purchasing.
  • Purchase Orders: Experience with purchase order management, including processing, tracking, and administration.
  • Outlook: Proficient in Microsoft Outlook, with experience in email management and communication.
  • PeopleSoft: Familiarity with PeopleSoft or similar ERP systems, with experience in data entry and procurement processes.
  • Bachelor's Degree: Bachelor's degree in Business Administration, Supply Chain Management, or related field.
  • Experience Level: Entry-level position, with 0 years of experience.
