Commission & Broker Operations Specialist - US Based Remote (Eastern Time Zone)

Essential Job Duties

File Completeness:

· Ensure file completeness and readiness for closing, processing and audit of commissions with a focus on lease and commercial transactions as well as deals not under Transaction Concierge management.

· Enter and maintain data in local MLS and real estate databases as required.

· Communicate with Sales Associates regarding incomplete files.

Commission Processing:

· Review closing packages for accuracy and completeness.

· Prepare Closing Demand Authorizations (CDAs) in internal accounting software.

· Pre-audit closing documentation (e.g., HUDs, contracts, commission checks).

· Apply commission adjustments and ensure timely, accurate payments to Sales Associates, Referrals, and Cooperative Brokers.

Sales Associate & Team Support:

· Deliver responsive customer service to agents, branch managers, and internal teams.

· Address inquiries regarding commission payouts, deductions, schedules, and calculations.

· Collaborate with Regional Support Specialist (RSS), Client Experience Specialist (CES) and Market Leaders to ensure data accuracy.

General Duties:

· Maintain high standards of data integrity and compliance.

· Adapt to changing business needs and perform additional duties as required.

Minimum Qualifications:

· Two or more years of customer service experience is preferred, with prior experience in a real estate office being advantageous

· Proficiency in various operating systems (i.e.- PCs, Macs, and Mobile platforms), as well as the ability to navigate computer software, is required

· Proficient in Microsoft Office applications including Outlook, Word, Excel, and Teams, with the ability to quickly learn about internal and external real estate-related systems.

· Excellent written and verbal communication skills are essential, with the ability to tailor messaging to diverse audiences and adapt quickly to support varying customer needs.

· Strong organizational and file management skills with exceptional attention to detail, accuracy, and speed.

· Solid math and clerical skills, including typing and data entry.

· A customer-focused approach, delivery-oriented mindset, and ability to multi-task are crucial

· Ability to multitask, prioritize, and remain flexible in a fast-paced, team-oriented environment with shifting business needs and deadlines.

· Willingness to be nimble and adjust priorities as needed
