The Health Information Management (HIM) Specialist position is responsible for performing various technical functions including record pickup, document scanning, indexing, and retrieval and filing of paper medical records. This role also processes Birth and Death Certificates in compliance with state regulations and provides clerical support within the HIM Department, including performing Release of Information intake. The HIM Specialist will perform chart pickup on nursing units or clinics as appropriate, scan paper medical record documents into the appropriate patients' electronic health record, index scanned documents, and verify that the information is placed in the correct patient record and encounter. The specialist ensures the appropriate importing of documents into the patient's electronic health record and files and retrieves hardcopy medical records as necessary. Additionally, the role involves routing requests for medical records, evaluating basic requests for validity, and logging requests appropriately. The HIM Specialist will assist patients in completing authorization forms accurately and completely, and will also meet with patients to facilitate the completion of birth certificate worksheets, ensuring accurate and timely input of birth certificate data into the state vital statistics system. The position requires a reliable high-speed internet connection, a cell phone capable of downloading an app, and a wired internet connection. Xtend Healthcare will provide all necessary hardware and software, and candidates must have a private workspace or home office free from distractions. The role demands frequent bending, sitting, standing, and continuous oral communication, as well as the ability to prioritize work and complete tasks within prescribed timeframes. The HIM Specialist must demonstrate integrity and the ability to keep patient information confidential at all times, as all offers of employment are contingent on standard background checks. Responsibilities • Perform HIM Specialist work as assigned, including chart pickup on nursing units or clinics. , • Scan paper medical record documents into the appropriate patients' electronic health record. , • Index scanned documents and verify that the information is placed in the correct patient record and encounter. , • Ensure appropriate importing of documents into the patient's electronic health record. , • File and retrieve hardcopy medical records as necessary. , • Route requests for medical records, amendments, and accounting of disclosures to the appropriate personnel. , • Evaluate basic requests for validity and log requests as appropriate. , • Assist patients in completing authorization forms accurately and completely during walk-in requests. , • Meet with patients to facilitate completion of the birth certificate worksheet. , • Accurately input birth certificate data into the state vital statistics system. , • Process death certificates in compliance with state regulations, including providing certificates to appropriate physicians and funeral homes. Requirements • High school diploma. , • Six months clerical or customer service experience. , • Experience working in a healthcare facility and/or familiarity with electronic medical records. Nice-to-haves • Understanding of medical terminology. , • Understanding of health information concepts. , • Ability to perform basic computer functions. , • Ability to perform basic data entry in Microsoft Word and Excel.
