Remote Administrative Assistant - IN-DOH | WFH

Job Overview We are actively seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. This remote-work opportunity will require you to provide essential administrative support to both the Division of Trauma and Injury Prevention (DTIP) and the Division of Chronic Disease, Primary Care, and Rural Health (CDPCRH). Your role will be vital in enhancing... community health initiatives through various administrative duties and special projects. Key Responsibilities • Deliver comprehensive administrative support to the DTIP and CDPCRH divisions. • Serve as a liaison between program administration, state agencies, and various stakeholders. • Conduct research and prepare informative reports for supervisory review. • Draft and manage correspondence, ensuring effective communication flow. • Facilitate the timely processing of paperwork through appropriate channels. • Electronically reserve vehicles and meeting spaces as required. • Coordinate travel arrangements, including transportation and lodging, while inputting data into relevant systems. • Assist colleagues with expense reporting processes. • Manage onboarding logistics for new hires, including equipment orders and name plates. • Oversee the review and distribution of incoming and outgoing mail. • Support special projects, including the J1 Visa Waiver program for CDPCRH. • Obtain necessary document approvals and maintain administrative functions as needed. • Perform additional duties as assigned, including limited travel to service locations. Required Skills • Solid knowledge of office administrative functions and principles. • Proficiency in research techniques and report writing. • Familiarity with the operations of various departments and agencies. • Ability to learn and effectively utilize agency and state government applications. • Exceptional written and verbal communication skills. • Keen attention to detail with strong proofreading capabilities. • Excellent organizational skills, with the ability to prioritize and manage multiple tasks. • Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint, Outlook). • Analytical skills to assess procedures and recommend improvements. • Self-motivated and detail-oriented with a collaborative spirit. Qualifications • High School Diploma or equivalent. • A minimum of three years of full-time experience in administrative support, bookkeeping, office management, or a related field. • Relevant certifications or coursework may be considered as part of educational qualifications.
