We are offering a contract to hire employment opportunity for a Sr. Executive Assistant in PERRYSBURG, Ohio. The chosen candidate will provide high-level executive support, encompassing administrative tasks, document management, business development, and contract administration. This role operates within the Financial Services industry and requires adeptness in various software including ADP ... Financial Services, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System. Responsibilities: • Utilize project management, time management, and organizational strategies to ensure efficient completion of tasks • Collaborate with COO to keep them informed of upcoming commitments and responsibilities, anticipating needs and offering solutions to conflicts • Manage and complete assigned projects, tracking and following up on internal staff assignments, and verifying the accuracy of completed work • Manage and prioritize a dynamic calendar of appointments, client meetings, and events, acting as a gatekeeper, screening calls and requests • Organize, facilitate, and create minutes for meetings and video calls • Prepare COO for meetings and business travel, including arranging detailed travel plans and itineraries • Draft letters, client correspondence, documents, and respond to communications on behalf of the COO as directed • Assist with preparing materials for customer presentations and conferences • Submit COO expense reports • Assist in promoting business development in coordination with the Marketing department • Continuously seek improvements in work processes and contribute to a culture of innovation and collaboration• Proven experience as a Senior Executive Assistant or in a similar role • Proficiency in using ADP - Financial Services • Experience with Cisco Webex Meetings for managing virtual meetings • Familiarity with the Concur expense management system • Extensive knowledge of CRM software for managing client relationships • Ability to use the Kronos Timekeeping System effectively • Proficiency in using the About Time software for project management • Excellent calendar management skills to schedule meetings and appointments • Strong communication skills for internal and external correspondence • Experience in managing conference calls effectively • Capable of handling correspondence professionally and timely Apply Job!
