About the Role

As a Healthcare Appointment Scheduler at arenaflex, your primary responsibility will be conducting high-volume outbound calls to health plan members to schedule complimentary in-home health assessments. These assessments are provided at no cost to the member and are designed to help individuals better understand and manage their health. You will be working 90% of your day on the phones, using a combination of manual dialing from spreadsheets and an auto-dialer system to reach 150–250 members daily.

The position is a remote, contract-based opportunity with an anticipated duration of four months, starting on October 21, 2024, and concluding on January 31, 2025. The pay rate for this role is $17 per hour. To be considered, candidates must reside in one of the following approved states: Illinois, Tennessee, Pennsylvania, Florida, or Georgia. Bilingual candidates are strongly preferred, though not required.

Key Responsibilities

  • High-Volume Outbound Calling: Make between 150 and 250 outbound calls per day to health plan members, using both manual dialing methods and an automated dialer system to maximize efficiency and reach.
  • Appointment Scheduling: Successfully schedule in-home health assessments for members, aiming to book a minimum of one to two visits per hour, with a target goal of two visits per hour (new hires will be given ramp-up time to acclimate to this pace).
  • Script Adherence and Member Engagement: Read and follow provided scripts while engaging members in natural, persuasive conversations that highlight the value and convenience of the free in-home assessment benefit.
  • Effective Communication: Collaborate with cross-functional departments using tools such as Webex, Microsoft Outlook, and other communication platforms to ensure seamless coordination.
  • Navigation and Technical Proficiency: Use Google Chrome and Google Maps to locate member addresses and verify geographic details for scheduling purposes.
  • Multitasking Across Platforms: Navigate multiple insurance portals simultaneously to verify member eligibility, benefits, and scheduling availability.
  • Email and Correspondence Management: Respond to emails, scheduling corrections, and member inquiries in a timely and professional manner.
  • Daily Goal Achievement: Consistently meet or exceed daily performance goals related to call volume, appointments scheduled, and quality standards.
  • Quality Assurance Compliance: Maintain a QA score of 95% or higher by adhering to company policies, scripts, and compliance guidelines.
  • Attendance Excellence: Demonstrate strong commitment to attendance during the critical first 90 days of employment, setting the foundation for long-term success.
  • Ready Time Management: Keep "not ready" time to 1.5 hours or less per day to maximize productivity and call efficiency.
  • Manual Dialing Volume: When working from spreadsheets or manual call lists, complete 100–200 outbound calls with accuracy and persistence.

Essential Qualifications and Requirements

  • Educational Background: High school diploma or equivalent is required.
  • Customer Service Experience: Demonstrated background in customer service, with the ability to handle challenging conversations professionally and empathetically.
  • Sales Acumen: Previous experience in a sales or persuasive communication role, with a track record of meeting or exceeding targets.
  • Call Center Experience: Prior experience working in a high-volume call center environment, preferably with outbound calling responsibilities.
  • Scheduling Experience: Familiarity with appointment scheduling, calendar management, or coordination of services.
  • Multitasking Ability: Proven capability to manage multiple systems, screens, and tasks simultaneously without sacrificing quality.
  • Problem-Solving Skills: Strong analytical and critical thinking skills to address member concerns and find solutions in real time.
  • Microsoft Office Proficiency: Solid working knowledge of Microsoft products, including Outlook, Excel, and Teams.
  • Residency Requirement: Must currently reside in Illinois, Tennessee, Pennsylvania, Florida, or Georgia.

Preferred Qualifications

  • Bilingual Capabilities: Fluency in both English and Spanish (or another language relevant to the membership population) is highly preferred and will be considered a significant asset.
  • Healthcare Industry Experience: Prior experience working in healthcare, insurance, or related fields is a plus.
  • CRM and Portal Navigation: Experience working with customer relationship management (CRM) systems and insurance portals.
  • Remote Work Experience: Previous success working in a remote or hybrid environment with minimal supervision.
