Why This Role Matters

As the first point of contact for every client who walks through our doors, the Customer Service Representative (CSR) sets the tone for the entire arenaflex experience. You will be the friendly voice on the phone, the welcoming smile at the reception desk, and the knowledgeable guide who helps pet owners navigate appointments, payments, and basic pet‑care advice. Your enthusiasm and professionalism directly influence client satisfaction, loyalty, and the overall reputation of arenaflex.

Key Responsibilities

  • Client Interaction: Greet visitors with genuine warmth, answer telephone inquiries promptly, and escort clients and their pets to exam rooms while ensuring a calm, safe environment.
  • Appointment Management: Schedule, confirm, and reschedule appointments using our practice management system, balancing client needs with provider availability.
  • Financial Transactions: Present fee estimates, explain payment options, process cash, credit, and electronic payments, and issue receipts with accuracy and confidentiality.
  • Pet‑Care Education: Provide basic guidance on animal husbandry topics such as heartworm prevention, flea & tick control, house‑training, nutrition, and general wellness, reinforcing arenaflex’s commitment to preventive care.
  • Medical Records Handling: Maintain and organize client charts, medical records, lab reports, and correspondence, ensuring compliance with privacy regulations and internal protocols.
  • Facility Upkeep: Keep the reception area, exam rooms, and public spaces clean and orderly, including the safe removal of animal waste, to uphold a hygienic and inviting environment.
  • Team Collaboration: Communicate effectively with veterinarians, technicians, and administrative staff to coordinate patient flow, share critical information, and support seamless operations.
  • Problem Solving: Address client concerns, resolve billing questions, and de‑escalate challenging situations with empathy and professionalism.
  • Continuous Improvement: Participate in regular training sessions, team‑building events, and feedback loops to enhance service quality and personal growth.

Essential Qualifications

  • Minimum of 2 years experience in a customer‑service or front‑desk role, preferably within a veterinary, medical, or hospitality setting.
  • Exceptional verbal communication skills, with the ability to convey complex information in a clear, friendly manner.
  • Demonstrated ability to work Friday through Monday, including evenings and weekends, to meet the scheduling needs of arenaflex’s busy practice.
  • Proficiency with computer systems and practice management software; comfort learning new technology quickly.
  • Strong organizational skills and meticulous attention to detail when handling records, payments, and scheduling.
  • Passion for animals and a basic understanding of pet health topics; willingness to expand knowledge through ongoing training.
  • Ability to maintain composure and professionalism in a fast‑paced, high‑traffic environment.

Preferred Qualifications & Additional Skills

  • Previous experience in a veterinary clinic or animal‑hospital environment.
  • Certification in veterinary reception or a related field (e.g., Certified Veterinary Receptionist).
  • Experience with multi‑line phone systems and electronic health record (EHR) platforms.
  • Fluency in a second language, enhancing communication with diverse client populations.
  • Demonstrated track record of upselling or promoting ancillary services in a respectful, client‑focused manner.
