As a Customer Service Representative at arenaflex’s Dallas, Texas hub, you will be the front‑line liaison between our customers and the engineering, production, and logistics teams that bring solutions to life. Your ability to process orders accurately, resolve technical inquiries, and nurture long‑term relationships will directly influence customer satisfaction, repeat business, and the overall reputation of arenaflex as a trusted partner.

Key Responsibilities

Reporting to the Customer Service Manager, you will own a broad portfolio of duties that blend administrative precision with proactive problem‑solving. Your day‑to‑day activities will include:

  • Order Management: Process new orders, quotes, credits, returns, and special requests with meticulous attention to detail.
  • Customer Communication: Interact with customers and sales representatives via phone, email, and face‑to‑face meetings, ensuring timely and professional responses.
  • Inquiry Resolution: Gather relevant information, evaluate issues, and resolve basic technical questions; route complex technical problems to the appropriate engineering or service resources.
  • Account Stewardship: Maintain accurate records of customer interactions, manage account details, and monitor product stocking levels to anticipate demand.
  • Logistics Coordination: Address damaged or mis‑shipped items, coordinate with internal departments and external vendors, and track shipment status to guarantee on‑time delivery.
  • Production Scheduling Support: Review product requirements, compile data for efficient manufacturing schedules, and help optimize cost, machine utilization, and service levels.
  • Continuous Improvement: Identify opportunities to streamline processes, develop standard work documentation, and propose enhancements to reporting metrics.
  • Cross‑Functional Collaboration: Work closely with sales, engineering, supply chain, and quality assurance teams to align customer expectations with operational capabilities.
  • Customer Site Visits: Participate in in‑person plant tours and on‑site meetings to deepen relationships and gather first‑hand feedback.
  • Additional Duties: Perform other related tasks as assigned, contributing to the overall success of the Customer Service department.

Essential Qualifications

  • High School diploma or equivalent; additional technical or business coursework is a plus.
  • Minimum of two years of B2B experience in a manufacturing or electrical‑focused customer service environment.
  • Proficiency with Microsoft Windows, Excel, Word, and Outlook; familiarity with ERP or CRM systems is highly desirable.
  • Demonstrated ability to manage multiple concurrent tasks in a fast‑paced setting while maintaining accuracy.
  • Strong time‑management, planning, and organizational skills.
  • Effective decision‑making and problem‑solving capabilities, with a focus on delivering solutions quickly.
  • Excellent interpersonal and communication skills, both written and verbal.

  • Exposure to Lean, Six Sigma, or other continuous‑improvement methodologies.
  • Ability to analyze data trends and generate actionable insights for process enhancements.
  • Fluency in a second language (Spanish, Mandarin, etc.) to support arenaflex’s diverse customer base.
