As a remote‑first organization, we champion work‑life balance, diversity, and continuous learning, ensuring every team member feels valued, heard, and equipped to succeed.

Why This Role Matters

In today’s fast‑paced healthcare ecosystem, accurate and timely data entry is the backbone of patient care, insurance processing, and regulatory compliance. As a Remote Healthcare Data Entry Specialist at arenaflex, you will be the critical link between medical documentation and the digital platforms that drive decision‑making across providers, insurers, and patients. Your meticulous attention to detail, analytical mindset, and customer‑service orientation will directly influence the quality of healthcare outcomes and the efficiency of claims processing.

Position Overview

This is a 100 % remote, contract‑based opportunity (4‑6 months) offering a competitive hourly rate of $16. You will work EST hours, Monday through Friday, from 8:00 AM to 5:30 PM. The role is designed for self‑motivated professionals who thrive in a metrics‑driven environment and enjoy collaborating with a dispersed team of peers and clients.

Key Responsibilities

  • Process a variety of medical documents—including Independent Medical Reviews, physician notes, and claim forms—by extracting relevant data and entering it accurately into electronic databases using Microsoft Excel and Word.
  • Conduct thorough quality checks to ensure data integrity, flagging inconsistencies or missing information for follow‑up.
  • Engage directly with clients and healthcare providers via phone to obtain missing documentation, clarify ambiguities, and resolve data‑related inquiries.
  • Collaborate with fellow coordinators and supervisors to meet daily, weekly, and monthly productivity quotas while maintaining high accuracy standards.
  • Document all communications, decisions, and case progress in the internal tracking system to provide a clear audit trail.
  • Apply critical‑thinking techniques to prioritize cases, determine next steps, and recommend process improvements.
  • Provide courteous, solution‑focused customer service, ensuring a positive experience for all external stakeholders.
  • Adhere to data‑privacy regulations (HIPAA, GDPR where applicable) and internal security protocols to protect patient information.

Essential Qualifications

  • High School Diploma or equivalent; additional post‑secondary education in health administration, business, or a related field is a plus.
  • Minimum of one (1) year of proven remote work experience, demonstrating reliable self‑management and effective virtual communication.
  • Strong proficiency with Microsoft Office Suite—particularly Excel (including formulas, pivot tables, and data validation) and Word.
  • Reliable high‑speed internet connection and a personal computer or laptop (no Chromebooks) that meets arenaflex’s technical specifications.
  • Excellent written and verbal communication skills, with the ability to convey complex information clearly and professionally.
  • Demonstrated ability to thrive in a metrics‑oriented environment, consistently meeting or exceeding productivity and accuracy targets.
  • Basic understanding of healthcare terminology, medical record handling, or insurance claims processes (preferred but not mandatory).

Preferred Experience & Skills

  • Prior experience in healthcare data entry, medical billing, or claims adjudication.
  • Familiarity with electronic health record (EHR) systems or claim management platforms.
  • Experience handling confidential patient data in compliance with HIPAA or similar regulations.
  • Strong organizational skills with the ability to manage multiple cases simultaneously while maintaining attention to detail.
  • Problem‑solving mindset—capable of identifying root causes of data discrepancies and proposing actionable solutions.
  • Customer‑service orientation, with a track record of building rapport over the phone and delivering timely resolutions.

Core Competencies for Success

  • Accuracy & Precision: Ability to enter data with near‑zero error rates.
  • Time Management: Efficiently prioritize tasks to meet strict deadlines.
  • Communication: Clear, courteous, and professional interaction with clients and internal teams.
  • Technical Agility: Quick adaptation to new software tools and workflow changes.
  • Integrity: Commitment to confidentiality and ethical handling of sensitive health information.
  • Team Collaboration: Willingness to share knowledge, support peers, and contribute to a positive virtual work culture.
