About arenaflex

arenaflex is a forward‑thinking leader in the health‑technology space, dedicated to transforming the way healthcare providers manage and protect patient information. Our mission is to enhance operational efficiency, improve patient experiences, and empower organizations with reliable, automated data solutions. As a remote‑first company headquartered in Superior, WI, we combine cutting‑edge technology with a culture that values humility, teamwork, and continuous learning. Whether you are looking for a flexible part‑time role or a full‑time career path, arenaflex offers a supportive environment where your attention to detail can make a real difference in the lives of patients and providers alike.

Why This Role Matters

In today’s fast‑paced healthcare ecosystem, accurate data entry is the backbone of every successful claim, report, and patient interaction. As a Data Entry Specialist at arenaflex, you will be the guardian of data quality, ensuring that every piece of information entered into our proprietary QuickClaim system is precise, secure, and compliant with industry regulations. Your work will directly influence the speed at which claims are processed, the clarity of medical records, and the overall satisfaction of our clients.

Key Responsibilities

At arenaflex, we expect our Data Entry Specialists to take ownership of the end‑to‑end data workflow. Your day‑to‑day duties will include, but are not limited to:

  • Accurately entering data from scanned images into the QuickClaim platform, maintaining a consistent flow of high‑quality entries.
  • Identifying document types (e.g., invoices, medical records, claim forms) based on detailed guidelines and classification charts.
  • Reviewing and verifying entered data against source documents to ensure compliance with internal quality standards and external regulations such as HIPAA.
  • Safeguarding Personal Health Information (PHI) by adhering strictly to confidentiality protocols and data‑security best practices.
  • Collaborating with teammates, supervisors, and cross‑functional partners to resolve ambiguities, answer questions, and streamline processes.
  • Proactively suggesting workflow enhancements, automation opportunities, or training resources that could improve efficiency and accuracy.
  • Completing all assigned tasks within the scheduled shift, ensuring that daily productivity targets are met before clocking out.
  • Performing additional office duties as needed, such as data audits, reporting, or assisting with onboarding of new team members.

Compensation, Schedule, and Location

arenaflex values the contributions of every team member and offers a competitive compensation package:

  • Pay Rate: $12 per hour, with regular performance reviews and opportunities for merit‑based increases.
  • Employment Type: Both part‑time (minimum 20 hours per week) and full‑time positions are available; full‑time is preferred for those seeking career growth.
  • Shift Availability: Flexible shifts ranging from 8:00 AM to 9:00 PM CST, Monday through Friday, to accommodate diverse schedules.
  • Remote Work: This role is fully remote, allowing you to work from anywhere in the United States while staying connected to the arenaflex team.
  • Location Reference: Although remote, the position is administratively based out of Superior, WI, for tax and compliance purposes.

Essential Qualifications

To thrive as a Data Entry Specialist at arenaflex, candidates should demonstrate the following core competencies:

  • Self‑motivation and a strong work ethic, with the ability to stay focused in a quiet, independent work environment.
  • Exceptional multitasking skills, enabling you to handle multiple document streams while maintaining high accuracy.
  • High attention to detail paired with efficiency, ensuring that each entry meets the 95 % accuracy threshold.
  • Quick learning ability, capable of mastering both simple and complex instructions without extensive supervision.
  • Commitment to data confidentiality, especially regarding PHI, and strict adherence to HIPAA regulations.
  • Proficiency in written and spoken English to accurately interpret and transcribe information.
  • Typing speed of at least 50 words per minute (WPM) with 95 % accuracy, and a keystroke rate of 4,500 keys per hour (KPH) with the same accuracy level.

Preferred Qualifications & Additional Skills

While not mandatory, the following experiences and skills will set you apart:

  • Prior experience in healthcare data entry, medical billing, or insurance claim processing.
  • Familiarity with electronic health record (EHR) systems, claim management software, or similar platforms.
  • Basic understanding of HIPAA compliance and data‑security best practices.
  • Experience working in a fully remote team, including proficiency with collaboration tools such as Slack, Microsoft Teams, or Zoom.
  • Demonstrated ability to suggest process improvements that have led to measurable efficiency gains.

Skills and Competencies for Success

arenaflex believes that technical ability is only part of the equation. The following soft skills are equally important:

  • Communication: Clear, concise, and professional communication with teammates and supervisors.
  • Problem‑Solving: Ability to identify discrepancies, ask clarifying questions, and resolve issues independently.
  • Time Management: Efficiently prioritize tasks to meet daily and weekly productivity goals.
  • Adaptability: Comfort with evolving guidelines, new software updates, and shifting workload volumes.
  • Integrity: Unwavering commitment to ethical standards, especially when handling sensitive health data.
