We are currently seeking a meticulous and motivated Remote Data Entry Specialist to join our growing operations team. Position Overview

As a Remote Data Entry Specialist at arenaflex, you will be the backbone of our travel information ecosystem. You will be responsible for inputting, maintaining, and auditing a high volume of travel-related data, including reservations, client profiles, vendor contracts, and booking details. Your work will directly support our reservations team, customer support agents, and senior management in making informed decisions. This is a fully remote position, offering the flexibility to work from home while contributing meaningfully to a globally connected team. Key Responsibilities

Data Entry and Database Management

  • Accurately input, update, and maintain data related to travel bookings, reservations, itineraries, and client profiles within arenaflex’s proprietary database and CRM systems.
  • Process high volumes of information with speed and precision, ensuring zero-error entry across multiple platforms.
  • Verify data integrity by cross-referencing booking confirmations, payment records, and client communications.

Quality Assurance and Auditing

  • Conduct routine audits and quality checks on all entered data to identify discrepancies, duplications, or errors.
  • Implement corrective actions promptly to maintain the highest standards of accuracy across the database.
  • Document audit findings and provide feedback to improve team-wide data quality practices.

Record Management and Documentation

  • Organize and maintain both digital and physical records, ensuring information is easy to access, retrieve, and archive.
  • Prepare, format, and organize documentation related to bookings, vendor contracts, client communications, and internal reports.
  • Maintain version control and ensure all documentation aligns with arenaflex’s internal policies and procedures.

Reporting and Analytics Support

  • Generate weekly, monthly, and ad-hoc reports on key performance metrics, booking trends, revenue cycles, and client behavior.
  • Distribute reports to relevant stakeholders including management, sales, and operations teams to support data-driven decision-making.
  • Use Excel and other reporting tools to create dashboards, pivot tables, and visual summaries of complex datasets.

Cross-Functional Communication

  • Collaborate closely with internal teams, including reservations, customer support, finance, and management, to ensure accurate and timely information exchange.
  • Respond to internal data-related inquiries with professionalism and urgency.
  • Participate in virtual team meetings, training sessions, and project briefings as required.

Process Improvement and Operational Excellence

  • Identify inefficiencies in the data management workflow and propose actionable improvements.
  • Contribute ideas to streamline repetitive tasks through automation, templates, or new tools.
  • Serve as a champion of best practices in data entry and recordkeeping across the organization.

Compliance and Data Protection

  • Ensure full compliance with data protection regulations, including GDPR, CCPA, and arenaflex’s internal data privacy policies.
  • Handle sensitive client and business information with the highest level of discretion and care.
  • Stay informed about evolving compliance requirements and apply them to daily operations.

Essential Qualifications

  • High school diploma or equivalent required; a Bachelor’s degree in Business Administration, Information Management, Hospitality, or a related field is strongly preferred.
  • Proven experience in data entry, administrative support, virtual assistance, or a related operational role.
  • Meticulous attention to detail with a demonstrated commitment to accuracy in all work outputs.
  • Strong organizational skills, with the ability to prioritize multiple tasks and meet tight deadlines.
  • Proficiency in Microsoft Office Suite, with advanced knowledge of Excel (formulas, pivot tables, VLOOKUP) and strong working skills in Word and Outlook.
  • Excellent written and verbal communication skills, with a professional and courteous demeanor.
  • Ability to work independently with minimal supervision while also thriving in a collaborative remote team environment.

  • Prior experience in the travel, hospitality, airline, or tourism industry.

  • Typing speed of 60+ words per minute with high accuracy.
