Position Overview

We are seeking a dedicated, articulate, and customer-focused Chat Call Customer Support Specialist – Order Entry & Client Experience to join the arenaflex team. In this dynamic role, you will serve as a vital connection point between our valued customers, sales representatives, sales management, and internal technical departments. Key Responsibilities

  • Customer Interaction Management: Handle a high volume of incoming calls and emails from customers, addressing their queries, providing detailed product information, and resolving issues promptly and professionally. Every interaction should leave the customer feeling heard, valued, and confident in their choice to work with arenaflex.
  • Order Processing Excellence: Manage end-to-end order processing using arenaflex's proprietary order entry systems. Ensure that each order is entered accurately, processed efficiently, and moves through the fulfillment pipeline without delay.
  • Cross-Functional Collaboration: Work closely with sales representatives, sales management, technical support personnel, and collection specialists to expedite orders, resolve customer concerns, and coordinate seamless multi-party solutions.
  • Pricing and Product Inquiries: Answer questions regarding pricing, product specifications, availability, and customization options. Provide clear, accurate, and comprehensive information to support informed customer decision-making.
  • Contract Maintenance: Execute contract maintenance tasks, including updating customer agreements and proactively informing customers of any pricing or contract changes that may affect their accounts.
  • Inventory Coordination: Process purchase orders, manage restock requests for inventory, and coordinate with suppliers to consolidate shipments as needed. Verify that all documentation required for export and domestic fulfillment is accurate and complete.
  • Relationship Building: Maintain ongoing relationships with customers, gather feedback on their experiences, and conduct timely follow-ups to ensure complete satisfaction with products, services, and overall interactions.
  • Issue Resolution: Analyze complex situations, identify root causes, and resolve problems effectively, including scenarios involving shipment consolidation, supplier coordination, and export documentation accuracy.
  • Documentation and Reporting: Maintain accurate records of customer interactions, order status, and resolution outcomes. Contribute to continuous improvement by identifying recurring issues and recommending process enhancements.
  • Other Duties as Assigned: Embrace additional responsibilities and projects as needed to support team objectives and the evolving needs of arenaflex's customer base.

Essential Qualifications and Requirements

  • Communication Skills: Excellent telephone skills with the demonstrated ability to handle multiple daily calls in a positive, professional, and courteous manner. Strong verbal and written communication skills are essential.
  • Technical Proficiency: Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook. Experience with proprietary order entry systems is a plus, but comprehensive training will be provided.
  • Writing Skills: Ability to write legibly with correct spelling, grammar, and punctuation across all customer communications and internal documentation.

  • Experience coordinating with multiple departments and external partners to expedite complex orders.
  • Understanding of export documentation requirements and international shipping logistics.
