In today’s digital age, the first interaction many patients have with a healthcare provider occurs via a website chat window. The Live Chat Representative is the frontline ambassador of arenaflex, turning casual website visitors into qualified leads and ultimately into satisfied patients. This role blends high‑touch customer service with strategic sales enablement, ensuring that every chat conversation not only answers questions but also guides prospects toward scheduling a consultation with one of our practice‑based professionals (PLs).

Key Responsibilities

  • Real‑Time Engagement: Manage multiple concurrent live chat sessions, delivering prompt, courteous, and accurate responses to every visitor.
  • Lead Qualification & Scheduling: Use arenaflex’s CRM platform to qualify prospects, capture essential information, and book in‑clinic or virtual consultations with the appropriate practice‑based PL.
  • Script Adherence & Personalization: Follow approved conversation scripts while tailoring responses to each visitor’s unique needs, ensuring compliance and a personalized experience.
  • Performance Targets: Achieve a 100% response rate to incoming chats, while maintaining high quality metrics such as average response time, customer satisfaction scores, and conversion rates.
  • Collaboration with Leadership: Partner with sales leadership and the Director of Sales Operations to align chat activities with broader sourcing and revenue goals.
  • Cross‑Location Support: Assist with lead generation and chat support for additional practice locations as needed, expanding arenaflex’s reach.
  • Accurate Information Delivery: Provide up‑to‑date pricing, service details, and other approved information, ensuring prospects receive reliable data.
  • Administrative Assistance: Support sales‑related administrative tasks, including data entry, reporting, and follow‑up communications.
  • Ad‑Hoc Projects: Contribute to special initiatives, process improvements, and pilot programs that enhance the overall chat experience.

Essential Qualifications

  • Minimum 1 year of sales experience, preferably in inside sales, remote sales, or a similar customer‑facing role.
  • Proven ability to work with a CRM tool (experience with Intercom, Salesforce, or similar platforms is highly valued).
  • Typing speed of 60+ words per minute with high accuracy.
  • Exceptional verbal and written communication skills, with a talent for simplifying complex information.
  • Demonstrated success in meeting or exceeding defined targets and KPIs in a fast‑paced environment.
  • Strong organizational and multitasking abilities, capable of juggling multiple chat threads without sacrificing quality.
  • Self‑motivation, adaptability, and a positive attitude, thriving both independently and as part of a collaborative team.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Availability to work the core shift of 5 PM – 1 AM ET / 3 PM – 10 PM PT, with flexibility for training sessions from 9 AM – 5 PM local time.
  • Willingness to work at least one weekend day (Saturday or Sunday); availability on both days is a significant advantage.
