About the Opportunity

Join arenaflex and become a vital part of a mission-driven team that is transforming how patients receive care in the comfort of their own homes. As a leading force in the home infusion services industry, arenaflex connects patients, caregivers, and healthcare providers through responsive, compassionate, and clinically informed communication. We are currently seeking a dedicated Remote Customer Service Representative based in Ohio to support our after-hours operations, ensuring that every patient interaction reflects our unwavering commitment to quality, safety, and dignity.

This is more than a customer service job — it is an opportunity to make a meaningful difference in the lives of individuals receiving complex medical care at home. If you thrive in a fast-paced, patient-centered environment and are passionate about healthcare communication, arenaflex wants to hear from you.

What You Will Do (Key Responsibilities)

As a Remote Customer Service Representative at arenaflex, you will serve as the first point of contact for patients, caregivers, and referral sources during after-hours operations. Your role is essential to maintaining continuity of care and ensuring that every caller receives timely, accurate, and compassionate support. Your core responsibilities will include:

  • Triaging Urgent Clinical Needs: Respond promptly and professionally to after-hours calls, assessing the urgency of clinical needs and directing callers to the appropriate care pathways. Your ability to remain calm under pressure will directly impact patient outcomes.
  • Supporting New Patient Referrals: Collaborate with local Patient Registration teams to process incoming referrals with precision. You will verify patient information, confirm insurance and demographic details, and ensure seamless handoff to the appropriate departments.
  • Meeting Performance Standards: Consistently achieve established metrics for call handling, referral processing, and documentation quality. arenaflex values accountability and rewards consistency in meeting service-level expectations.
  • Coordinating Care Communication: Serve as a liaison between internal team members, external healthcare providers, and patient families. You will communicate care coordination information clearly and efficiently to ensure alignment across the care continuum.
  • Maintaining Confidentiality and Compliance: Uphold the highest standards of patient privacy in accordance with HIPAA regulations and arenaflex policies. You will safeguard sensitive information while ensuring compliance with all applicable laws and organizational standards.
  • Documentation and Reporting: Accurately document all patient interactions, referrals, and follow-up actions in the designated systems. Your attention to detail will support quality assurance and continuous improvement initiatives.

What You Bring (Required Qualifications)

To succeed in this role at arenaflex, you will need a strong foundation in customer service, excellent communication skills, and a commitment to patient-centered care. The required qualifications include:

  • Education: A high school diploma or GED equivalent is required.
  • Experience: A minimum of one year of previous call center experience, preferably in a healthcare, insurance, or similarly regulated environment.
  • Technical Proficiency: Demonstrated ability to navigate Microsoft Office Suite applications (Word, Excel, Outlook) efficiently, along with strong keyboarding and data entry skills.
  • Communication Skills: Exceptional interpersonal, verbal, and written communication skills with the ability to convey empathy and clarity in every interaction.
  • Remote Work Readiness: A dedicated, quiet, and secure home workspace equipped with reliable internet connectivity to handle sensitive patient information in a HIPAA-compliant manner.

What Sets You Apart (Preferred Qualifications)

While not required, the following qualifications will distinguish top candidates and accelerate your success at arenaflex:

  • Higher Education: An Associate's or Bachelor's degree in healthcare administration, communications, business, or a related field is highly preferred.
  • Healthcare Experience: Three or more years of experience in a healthcare-related call center, patient access, or home infusion environment will give you a strong foundation for this role.
  • Clinical Awareness: Familiarity with medical terminology, infusion therapy processes, or patient registration workflows is a significant advantage.
  • Multitasking Ability: Experience managing high call volumes while maintaining accuracy and composure is highly valued.

Essential Skills and Competencies for Success

Beyond the formal qualifications, the ideal candidate for arenaflex will demonstrate the following competencies:

  • Empathy and Compassion: A genuine desire to help patients and families navigate challenging situations with grace and understanding.
  • Critical Thinking: The ability to assess situations quickly, prioritize effectively, and make sound decisions under pressure.
  • Adaptability: Comfort with shifting priorities, evolving processes, and the dynamic nature of healthcare delivery.
  • Team Collaboration: A collaborative spirit that contributes to a supportive and high-performing team culture.
  • Attention to Detail: Meticulous accuracy in documentation, data entry, and information verification.
  • Resilience: The capacity to handle emotionally charged conversations while maintaining professionalism and composure.
