We are currently seeking a detail-oriented, highly organized, and dependable Remote Part-Time Data Entry Clerk & Administrative Support Specialist to join our growing team. This role supports an integrated Adult Detox and Crisis Recovery Unit — a non-medical, 14-bed facility that admits individuals 24 hours a day, 7 days a week, helping them safely navigate the process of detoxing from alcohol and other substances. The right candidate will be someone who thrives in a fast-paced, purpose-driven environment and understands the importance of accuracy, discretion, and compassion in healthcare administration.

Position Overview

As a Remote Part-Time Data Entry Clerk & Administrative Support Specialist at arenaflex, you will play a critical role in keeping daily operations running smoothly. You will provide high-level administrative support to clinical and program staff, manage sensitive data entry tasks, assist with payroll and financial documentation, and serve as a reliable backup during high-volume periods for phone screenings, referrals, and other essential front-office duties. Reporting to senior program management, you will collaborate closely with Adult Detox Unit (ADU) and Crisis Recovery Center (CRC) staff. The position closes on August 24, so we encourage qualified candidates to apply promptly.

Key Responsibilities

Data Management & Reporting

  • Use spreadsheets, databases, and internal software systems to organize, input, and maintain accurate information.
  • Produce standard reports on a recurring basis and assist in compiling more complex reports as requested.
  • Prepare a variety of complex disbursement forms, including check requests, travel forms, cash sheets, and journal entries, and route them for proper approval.
  • Compile and maintain financial statements, operational logs, and administrative records.
  • Greet visitors professionally and maintain appropriate safety procedures in secured environments.

Accounting & Financial Support

  • Set up new accounts and reconcile ledgers to ensure financial accuracy.
  • Gather and organize data used by leadership in preparing budgets.
  • Prepare a wide variety of accounting forms and financial documentation.
  • Reconcile daily receipts as well as accounts receivable and accounts payable records.
  • Identify discrepancies, investigate root causes, and apply corrections in a timely manner.
  • Collect required supporting documents, prepare expense vouchers, and process invoices.

Procurement & Vendor Coordination

  • Verify requests for goods and services against County contracts and approved funding sources.
  • Place orders for goods and services, follow up on delivery status, and resolve any discrepancies.
  • Ensure proper routing and approval of all purchase requests in accordance with organizational policy.

Executive & Operational Support

  • Establish, modify, and maintain tracking systems to monitor the progress of work assigned to senior management.
  • Train new employees on relevant administrative procedures, tools, and workflows.
  • Explain and apply relevant organizational policies and procedures with clarity and consistency.
  • Compose routine correspondence on behalf of management with professionalism and accuracy.

Scheduling & Document Production

  • Schedule, reschedule, and cancel appointments as needed; maintain up-to-date calendars for multiple stakeholders.
  • Reserve rooms for classes, meetings, and conferences; coordinate audio-visual and training equipment.
  • Type complex technical documents with precision, including reports, memos, and procedural documents.
  • Proofread all materials for spelling, grammar, formatting, and overall quality before distribution.
  • Use multiple software applications to prepare, format, and distribute information efficiently.

Payroll & Human Resources Administration

  • Verify employee timesheets for accuracy and completeness.
  • Find, research, and resolve payroll discrepancies in collaboration with HR and finance staff.
  • Complete and verify data entry for payroll processing; assist in distributing paychecks.
  • Respond to staff questions regarding payroll, attendance, and leave matters.
  • Maintain attendance and leave tracking records, including coordination of Family and Medical Leave (FMLA) in accordance with policies, procedures, and applicable guidelines.
  • Act as a department-level resource in data management systems and provide training to new users.

Backup & Cross-Functional Support

  • Provide backup support during high-volume periods for phone screenings, referral coordination, and other front-line duties.
  • Step into a variety of tasks as needed to ensure uninterrupted service delivery.

Essential Qualifications

  • High school diploma or equivalent is required.
  • Minimum of two years of administrative support experience in a professional office environment.
  • Demonstrated proficiency with spreadsheets, databases, and word processing software (Microsoft Office Suite or comparable tools).
  • Strong attention to detail and a commitment to accuracy in data entry and document preparation.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Reliable high-speed internet connection and a dedicated, distraction-free home workspace.

Preferred Qualifications

  • Associate's Degree in Business Administration or a closely related field.
  • Prior experience supporting healthcare, behavioral health, detox, or crisis recovery programs.
  • Familiarity with payroll systems, FMLA administration, and attendance tracking.
  • Experience reconciling ledgers, processing invoices, and supporting budget preparation.
  • Background in training new staff or serving as a resource for data management systems.
  • Understanding of County contracts, public funding sources, or government procurement processes.
