Finance & Logistics Coordinator

Napatech is the leading provider of programmable Smart Network Interface Cards (SmartNICs) and Data Processing Units (DPUs) solutions that accelerate AI, network, storage, and security workloads for cloud, enterprise, and telecom datacenters worldwide. We are currently seeking to fill an expanding role in our Finance, Logistics and Administration. In this new position you will serve a vital role in supporting C Level executives, Logistics Operations and Finance. Remote Responsibilities: Responsible for day-to-day finance administration and logistics coordination for Napatech US, ensuring accurate execution, timely shipments, and smooth interaction with colleagues in finance and operations. Your main colleagues will be our Finance and Logistics Managers, both located in the US. Finance & administration

  • Process vendor invoices (AP), including coding, approvals, and coordination with leaders and finance
  • Support customer invoicing and AR follow-up where relevant
  • Support month-end close activities (accrual input, supporting schedules,

documentation)

  • Review and support employee expense reports in line with company policy

Logistics & operations

  • Coordinate domestic and international shipments, including booking, tracking, and issue resolution
  • Prepare and maintain shipping and export documentation (commercial invoices, packing lists, incoterms awareness)
  • Act as primary contact with carriers, freight forwarders, customs brokers, and 3PLs
  • Support receiving, returns (RMA), and basic inventory coordination
  • Track and report logistics and operational costs

Coordination & communication

  • Communicate proactively with vendors, service providers, and internal stakeholders
  • Ensure proper documentation, filing, and audit trail for financial and logistics activities

Process & compliance

  • Follow and help enforce, approval workflows, and compliance requirements
  • Contribute to standardization and improvement of routines, templates, and checklists
  • Handle sensitive financial and commercial information with high confidentiality and

integrity Travel & Event Management

  • Plan and manage domestic and international travel for the leadership team
  • Organize offsite customer visits and internal events
  • Handle logistics end-to-end including itineraries, venues, and coordination

Executive & Leadership Calendar Management

  • Own and manage the CEO's calendar, priorities, and scheduling cadence
  • Schedule and orchestrate leadership meetings, board interactions, and key customer engagements
  • Anticipate conflicts and proactively manage trade-offs across priorities.

Salary commensurate with experience. Qualifications: The ideal candidate will have 3 or more years of experience working in a finance or operational role with exposure to bookkeeping/accounting data analysis.
