Medical Front Desk – Admin Assistant

Job Description:

  • Answer inbound calls and emails professionally, ensuring patient queries are handled promptly.
  • Schedule, reschedule, and confirm appointments efficiently.
  • Respond to patient messages across multiple channels (phone, text, patient portal, email).
  • Prepare patient charts before appointments, ensuring all information is up-to-date.
  • Upload scribe notes, lab results, patient handouts, and care plans into the system.
  • Order and schedule lab tests according to provider instructions.
  • Assist with prescribing workflows and coordinate with pharmacies to fulfill patient prescriptions.
  • Provide service estimates and process patient payments as needed.
  • Conduct post-visit clarity calls to ensure patient satisfaction.
  • Lead discovery calls with prospective patients to provide necessary information.
  • Respond to prospect inquiries via email, phone, and social media.
  • Create patient education materials and Canva graphics to enhance patient experience.
  • Receive and send faxes and coordinate patient referrals.
  • Troubleshoot basic phone, EMR, and scheduling issues to ensure smooth operations.
  • Support in-office clinic workflows as needed.
  • Assist the medical team with administrative and operational tasks as required.

Requirements:

  • Outstanding time management and task prioritization abilities.
  • Excellent communication skills, both written and verbal.
  • Strict adherence to confidentiality and HIPAA standards.
  • Ability to handle multiple tasks simultaneously while maintaining high accuracy.
  • Experience with Cyrbil EHR, RingCentral, and Google Suite is preferred.
  • Previous experience in a medical front desk or administrative role is a plus.
  • Ability to adapt and be cross-trained in various tasks within the practice.
  • Proven ability to manage administrative duties while providing excellent customer service.
