University of Maine at Fort Kent is seeking to hire an Administrative Specialist (CL2) to support the Early College Program, including Summer Programming, campus visits from Early College constituents, and aiding in the administrative side of student enrollment. Early College (or dual enrollment) refers to all programs in which high school students enroll in college courses while in High School.
The position is an on campus, one year fixed length position (possibility of renewal) with the full-time hours of M-F, 8 a.m.- 4:30 p.m. This position performs a variety of detail oriented and time-sensitive administrative and clerical duties in support of the University of Maine at Fort Kent Early College Program. The candidate selected for this position will also provide for Early College programs on other campuses and will occasionally support System Office staff. Minimal evening and weekend work. Occasional travel to area high schools may be necessary.
Essential Duties
- Receives and processes Early College applications through the online portal ExplorEC, in collaboration with other campuses and the Maine Community College System for multi-campus students.
- Processes drop/withdrawal requests initiated in ExplorEC.
- Serves as a liaison between Early College Program Coordinator and participating high schools (explain policies and procedures, troubleshoot issues).
- Engage with Early College colleagues System-wide on shared policies and procedures, maintaining/ensuring consistency for our internal/external constituents.
- Support accreditation efforts for the National Alliance of Concurrent Enrollment Partnerships (NACEP).
- Support students by helping resolve questions, aiding in triage of time-sensitive inquiries that may arise.
- Assists with recruitment and marketing
- Creates accurate and timely reports reflecting Early College Program enrollments, add/drop, withdrawals and course waitlists.
- Communicates professionally and effectively with Early College Program stakeholders, including students, high school guidance counselors and administrators, parents, and homeschool educators. Recognizes high school students need additional assistance in navigating the Early College experience.
- Researches student accounts and interacts with the Bursar's office in regards to billing.
- Provides enrolled students with access to online tutoring services
- Minimum of two years' experience in administrative support.
- High school diploma or an equivalent of knowledge or experience.
- Bachelor's Degree or an equivalent of knowledge or experience.
- Demonstrates strong self-initiative in performing all duties and tasks.
- Demonstrates the ability to multi-task within a fast-paced environment particularly during peak student recruitment, application, and enrollment periods.
- Provides operational support as needed.
- Develops and maintains professional relationships that reflect courtesy, civility, and mutual respect.
- Builds productive relationships with internal and external constituents.
- Performs other reasonably related administrative duties as assigned.
- Demonstrated proficiency in the use of the following software programs: Microsoft Word and Excel; Google Suite; Mail merge; etc.
- Demonstrated ability to provide excellent customer service.
- Experience in multi-tasking and the ability to work both independently and as part of a team.
- Demonstrated time management skills and strong organizational skills with excellent attention to detail.
- Experience providing administrative support and customer service in a fast-paced higher education environment.
- Demonstrated knowledge of Maine Street (PeopleSoft)
