SUMMARY: This position is responsible for providing secretarial support to assigned administrator and department, including compiling data and reports, ordering equipment and supplies, responding to internal and external inquiries, establishing and maintaining department records, processing documents and materials, composing documents and participating in meetings and projects.

1. Responds to inquiries from internal and external parties and communicates with staff, other schools, state and federal agencies, and general public in person, on the phone or by email or written correspondence to provide information related to departmental programs, activities and functions. 2. Informs personnel of procedures and program requirements as requested for making decisions, taking appropriate action, and/or complying with established statutory, regulatory, state, and federal guidelines. D 15%
3. Establishes and maintains files and records including student data for the purpose of documenting activities, providing up-to-date reference, etc. D 15%
4. Processes documents and materials (e.g. billing, past due notices, collections, credits, credit card statements, catalogs, curriculum materials, work orders, supplies, etc.) for the purpose of disseminating information and equipment in compliance with program, district, state and/or federal requirements. D 10%
5. Composes and prepares documents for assigned area, including letters, newsletters, memorandums, reports, tables, graphs, charts, project status, surveys, bulletins, and notices. D 10%
6. Research topics as requested to address a variety of administrative requirements. W 5%
7. Schedules appointments, meetings, interest inventories, etc. for assigned administrator. W 5%
8. Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions. Coordinates a wide variety of programs and/or activities (e.g. task assignments; meetings; site in-service day activities; workshops, travel and accommodations; summer school courses/instructors; checkout of print materials, instruments, recordings, resources, science fair, etc.) to ensure the availability of facilities. W 5%
9. Manage and complete assigned regular and/or special department projects on-time and within budget. Ensure thorough, accurate and timely completion. Evaluate project processes and procedures to facilitate further improvements and efficiencies. W 10%
10. Orders equipment, supplies and materials to maintain availability of required items. W 5%

EDUCATION AND RELATED WORK EXPERIENCE:
- High school diploma, or equivalent, required
- One to three years of experience in an administrative office setting

- Operating knowledge of district information technology systems and department-specific software and equipment required within 3 months after entering position
