Maintenance Coordinator - Real Estate

Role Overview

Our client is a property management company overseeing approximately 21.5 residential properties. They are looking for a proactive and detail-oriented Maintenance Coordinator to serve as the primary point of contact for all maintenance-related activities.

This role manages the full lifecycle of maintenance requests — from tenant submission through vendor coordination, completion follow-up, and invoice processing. The ideal candidate is someone who can make decisions independently, handle issues quickly, and ensure maintenance requests are resolved efficiently without delays.

Key Responsibilities

  • Receive and acknowledge tenant maintenance requests submitted through AppFolio Vet each request and assign to the appropriate vendor based on issue type and property
  • Coordinate scheduling between tenants and vendors to ensure timely resolution
  • Follow up with vendors and tenants to confirm work has been completed correctly
  • Monitor shared billing email group, retrieve invoices, and post them accurately in AppFolio
  • Communicate proactively with property owners, tenants, and vendors via phone, text, and email
  • Manage a dedicated phone line for inbound maintenance-related calls 
  • Escalate issues appropriately while making independent decisions within established cost thresholds
  • Ensure maintenance requests are resolved within 1–2 business days whenever possible
  • Track vendor responsiveness and flag unresponsive or underperforming vendors to management

Required Skills & Experience

  • Prior experience as a Maintenance Coordinator or in a similar property management support role
  • Proficiency with AppFolio (specifically the maintenance module) — strongly preferred
  • Strong verbal and written English communication skills for phone, text, and email interactions
