  • Accurate Data Capture: Input client intake forms, case notes, evidentiary details, and billing information into our secure case management system with 99.9% accuracy.
  • Document Verification: Cross‑check entered data against source documents, flag discrepancies, and resolve inconsistencies in collaboration with legal staff.
  • Quality Assurance Audits: Perform routine audits of existing records, correct errors, and implement best‑practice validation checks.
  • Secure Data Handling: Follow strict confidentiality protocols, encrypt sensitive files, and adhere to HIPAA, GDPR, and state‑specific privacy regulations.
  • Process Optimization: Identify bottlenecks in data workflows, recommend automation tools, and contribute to the development of standard operating procedures.
  • Team Collaboration: Communicate regularly with attorneys, paralegals, and IT support via virtual meetings, ensuring seamless information flow.
  • Reporting & Documentation: Generate daily and weekly status reports, maintain logs of data entry activities, and provide metrics on processing times.
  • Continuous Learning: Stay current on legal terminology, data entry software updates, and industry compliance standards through ongoing training.

Essential Qualifications – What You Bring to the Table

  • Experience: Minimum of 1 + year professional data entry experience, preferably within a legal, medical, or professional services environment.
  • Technical Proficiency: Strong command of Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with case management platforms such as Clio, MyCase, or LexisNexis.
  • Typing Speed & Accuracy: At least 65 words per minute with a proven error rate of less than 1%.
  • Attention to Detail: Demonstrated ability to spot inconsistencies, maintain data integrity, and follow exacting guidelines.
  • Communication Skills: Clear, concise written communication; ability to ask clarifying questions and convey findings to non‑technical teammates.
  • Remote Work Readiness: Reliable high‑speed internet connection, a quiet home office environment, and proficiency with video‑conferencing tools (Zoom, Teams).
