Job Overview

We are currently seeking an experienced and skilled Customer Service Representative to join our dynamic team at arenaflex. As a key member of our Service Department, you will play a vital role in delivering exceptional customer service, supporting our customers throughout their service and repair journey. Your primary focus will be on providing top-notch support via phone and in-person interactions, ensuring that every customer leaves with a positive impression of our brand.

Key Responsibilities

  • Answer all incoming service calls in a prompt and friendly manner, displaying empathy and a professional tone throughout the entire customer interaction.
  • Assist Customer Advisors/Service Consultants with customers when needed, providing seamless support and ensuring a smooth service experience.
  • Answer basic service department questions, schedule service appointments, and route customers' calls to the relevant parties.
  • Provide written messages to the responsible party in a timely manner, ensuring that all stakeholders are informed and up-to-date.
  • Complete reminder calls for customers scheduled for an appointment, helping to minimize no-shows and ensure a high level of customer satisfaction.
  • Assist the service department in contacting customers once special ordered parts have arrived, scheduling appointments and keeping customers informed about the status of their repairs.
  • Contact customers with Repair Requests to schedule appointments, ensuring that all necessary repairs are completed efficiently and effectively.
  • File repair orders and all supporting documentation daily, maintaining accurate and detailed records of all service activities.
  • Audit all sublet invoices to ensure they are processed and resolved per arenaflex guidelines, helping to maintain our high standards of quality and customer satisfaction.
  • Ensure the loaner log and dealer tags are always in compliance with audit requirements, demonstrating our commitment to operational excellence and attention to detail.

Essential Qualifications

To be successful in this role, you will need to demonstrate exceptional interpersonal, communication, and customer service skills. You should be able to work effectively in a fast-paced environment, prioritizing multiple tasks and managing your time efficiently. Intermediate computer skills, including spreadsheet knowledge, are also essential, as you will be required to maintain accurate records and utilize our systems to deliver exceptional customer service.

Preferred Qualifications

While not essential, previous experience in a customer-facing role, particularly in a service or retail environment, would be highly advantageous. You should be able to demonstrate a strong understanding of customer service principles, including active listening, empathy, and conflict resolution. Additionally, experience with retail service standardized work and voice of customer (VoC) processes would be beneficial, as you will be expected to execute these processes to deliver exceptional customer service.
