Job Overview

As a Virtual Receptionist and Data Entry Clerk at arenaflex, you will play a vital role in ensuring the smooth operation of our administrative functions. This is a full-time, remote position that offers a unique opportunity to work with a talented team of professionals who are passionate about delivering exceptional results. Your primary responsibilities will include providing administrative support, managing data entry tasks, and ensuring seamless communication with our internal stakeholders and external partners.

Key Responsibilities

  • Maintain full knowledge of our IT department structure, including the leaders who oversee each team
  • Sort, scan, and distribute mail and internal correspondences throughout our campus and satellite locations
  • Manage postage, mail accounts, and incoming and outgoing mail
  • Ensure office supplies and common areas are stocked, clean, and organized
  • Set up IT meetings and remove setup once the meeting convenes
  • Create and replace ID badges for IT employees
  • Support coverage of the reception desk, including answering phones, directing visitors, issuing and deactivating employee and visitor badges
  • Perform all assigned tasks accurately, efficiently, and in accordance with applicable policies and procedures
  • Comply with arenaflex's privacy and security requirements and policies if job responsibilities include possible access to confidential and/or sensitive information
  • Other duties as assigned

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High School Diploma or GED required, or a combination of education and experience providing equivalent knowledge
  • Excellent verbal and written communication skills
  • Ability to prioritize and work under strict deadlines
  • Ability to work both independently and within a team environment
  • Ability to stay organized and multi-task efficiently
  • Ability to interpret and apply company policies and procedures
  • Proficient in Microsoft Office Suite
  • Proficiency in typing and data entry

Preferred Qualifications

While not required, the following preferred qualifications will be considered an asset:

  • Previous experience in an administrative support role, preferably in a virtual or remote setting
  • Knowledge of IT department structures and operations
  • Experience with data entry software and systems
  • Certification in administrative assistance or a related field
