Job Summary

We're seeking a highly skilled and customer-focused Customer Support Specialist to join our team. As a key member of our support staff, you'll be responsible for ensuring a seamless and positive experience for our clients and guests. This includes providing exceptional service, handling client inquiries, and maintaining accurate records. Key Responsibilities

As a Customer Support Specialist, you'll be responsible for the following key duties:

  • Ensuring a positive client and guest experience for each individual who enters our facility
  • Maintaining general knowledge of daily business operations and performing all client-facing duties, including:

+ Assisting clients with medication pickup + Scheduling appointments + Collecting and processing ECHO financials and insurance documents + Assisting with facility opening and closing duties

  • Obtaining DMH Member ID and DMH eligibility for individuals as applicable
  • Creating and editing client charts or episodes in EHR, as applicable
  • Initiating Client Data Core (CDC), as applicable
  • Documenting client communication in EHR, as appropriate
  • Assisting clients with connection to clinicians via iPad and providing a confidential setting for services
  • Assisting with connection to Crisis for walk-ins and call-ins, as appropriate
  • Scanning all required documents into EHR
  • Assisting with finding clinical staff to complete screenings or crisis walk-ins
  • Collecting and processing deductible and co-payments from individuals served
  • Assisting with processing incoming and outgoing mail and faxes
  • Maintaining medication inventory and ensuring compliance with medication protocol
  • Processing proof of insurance information for DMH consumers
  • Completing Patient Assistance Program applications and sending to the pharmacy in a timely manner
  • Forwarding medical records requests in a timely manner to the Medical Records Office, ensuring ROIs are completed entirely and accurately
  • Understanding and promoting our Certified Community Behavioral Health Clinic (CCBHC) concept by providing or supporting community-based mental and substance use disorder services; advancing integration of behavioral health with physical health care; assimilating and utilizing evidence-based practices on a more consistent basis; and promoting improved access to high-quality care

Essential Qualifications

To be successful in this role, you'll need:

  • A High School Diploma or equivalent
  • At least two (2) years of experience in a previous receptionist/clerical position
  • Ability to perform data entry and possess knowledge of Windows and Microsoft Applications
  • Experience in multi-tasking, prioritizing, and working independently
  • Excellent communication skills, including active listening, and the ability to communicate effectively in person, in writing, and over the phone
  • Knowledge of, or ability to learn, area of customer service specializations
  • Service-oriented and able to resolve customer needs quickly
  • Proficient computer skills and ability to learn how to use applicable software quickly
  • Ability to work in a collaborative and team-oriented environment
  • Self-motivation, ability to multitask, and attention to detail

Preferred Qualifications

While not required, the following qualifications would be an asset:

  • Experience working in a healthcare setting
  • Knowledge of EHR systems and other healthcare software
  • Certification in customer service or a related field
  • Bilingual or multilingual skills
