Job Summary

We are seeking an experienced Remote Receptionist to provide administrative support, customer service, and other related tasks to our clients. The successful candidate will be responsible for answering calls, taking messages, handling correspondence, creating invoices, maintaining note-taking or minutes for meetings, scheduling and arranging appointments, typing, preparing and collating reports, filing/e-filing of documentation, organizational management, prioritization of workload and daily tasks, liaising with relevant organizations and clients, coordinating mail-shots and similar publicity tasks, and meeting and greeting clients.

Key Responsibilities

* Answering calls, taking messages, and handling correspondence in a professional and timely manner

  • Creating invoices for all incoming clients
  • Maintaining note-taking or minutes for meetings
  • Scheduling and arranging appointments
  • Typing, preparing, and collating reports
  • Filing/e-filing of documentation
  • Organizational management
  • Prioritization of workload and daily tasks
  • Liaising with relevant organizations and clients
  • Coordinating mail-shots and similar publicity tasks
  • Meeting and greeting clients

Essential Qualifications

* Must be a U.S. citizen

  • Certified Notary Public
  • 2 years of experience as a Secretary/Receptionist (Preferred)
  • High school diploma or equivalent (Preferred)
  • Ability to speak Spanish
  • Ability to use and learn about standard POS, Android, Google, and iOS software (i.e., Square (invoicing & appointments), Google Play, Apple Store, Google Maps, and Google Voice)
  • Excellent communication, customer service, and relationship-building skills
  • Teamworking, organization, and time management skills
  • Attention to detail, negotiation, assertiveness, flexibility, tact, discretion, and ability to be proactive and take the initiative

Preferred Qualifications

* Experience working in a remote or virtual environment

  • Experience with customer relationship management (CRM) software
  • Experience with email marketing and social media management
  • Experience with data entry and record-keeping
