Work Outline

The Full Stack Administrative Support Specialist will work under the broad guidance of the leadership team, providing administrative support to ensure the smooth operation of our business. Key responsibilities will include:

  • Providing administrative support to the leadership team, including scheduling meetings, preparing reports, and coordinating travel arrangements.
  • Ensuring compliance with regulatory obligations, including maintaining accurate records and submitting reports as required.
  • Coordinating and circulating information and materials to staff, including preparing and distributing reports, presentations, and other materials.
  • Screening correspondence, including mail and emails, and responding to routine inquiries as necessary.
  • Preparing reports, presentations, and other materials as required, including data analysis and visualization.
  • Processing cost reports and screening incoming requests, including preparing and submitting payment requests.
  • Maintaining a high level of productivity and efficiency in our day-to-day operations, including managing office supplies and equipment.

Key Responsibilities

The Full Stack Administrative Support Specialist will be responsible for the following key tasks:

  • Planning, coordinating, and circulating meetings and arrangements, including scheduling and preparing agendas.
  • Screening and responding to correspondence, including mail and emails, and escalating complex or urgent matters to the leadership team.
  • Preparing and submitting reports, presentations, and other materials, including data analysis and visualization.
  • Processing cost reports and screening incoming requests, including preparing and submitting payment requests.
  • Maintaining accurate records and submitting reports as required to ensure compliance with regulatory obligations.
  • Coordinating and circulating information and materials to staff, including preparing and distributing reports, presentations, and other materials.
  • Maintaining a high level of productivity and efficiency in our day-to-day operations, including managing office supplies and equipment.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum 2 years of experience in an administrative support role, preferably in a healthcare or retail environment.
  • Excellent communication and interpersonal skills, with the ability to work effectively with staff at all levels.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office, including Excel, PowerPoint, and Word.
  • Ability to maintain confidentiality and handle sensitive or confidential information with discretion.

Preferred Qualifications

While not essential, the following qualifications would be highly desirable:

  • General administrative experience, including note-taking, travel planning, and correspondence.
  • Experience with Microsoft Outlook for email and scheduling management.
  • Associate's or bachelor's degree in a related field, such as business administration or communications.
