- Proofreads, keys, and processes a variety of correspondence, reports, and documents
- Serves as a receptionist
- Answers/directs questions/inquiries by telephone or in person and schedules initial appointments with Probation Office
- Operates a variety of office equipment
- Is cross trained in all clerical positions within department
- Issues and collects client forms and information
- Provides procedural information regarding court stipulated classes, counseling, and community service work
- Gathers/inputs court stipulations and other information into computer system
- Receives and processes client forms, referrals, and community service timesheets
- Processes and creates new probation clients’ files
- Sends discovery to prosecution
- Trains new employees and interns as necessary
- Performs additional duties as assigned
- Will handle CJIS related information.
- High School Diploma or GED
- Two (2) years of administrative support experience with heavy public contact. Court or probation experience preferred.
- Data entry experience
- Criminal Justice Information Systems (CJIS) certification required within six (6) months of hire.
- NCIC / CCIC Certification may be required
- Probation and court terminology
- Basic office practices and procedures
- Advanced business English, math, and spelling
- Computer operation with various software applications to include Microsoft Word, Excel, Outlook and Versadex.
- Advanced knowledge of Access Control or similar security systems
- Efficiently and accurately key information using a keyboard and skill in performing data entry
- Strong interpersonal, analytical and organizational skills
- Typing and keyboarding skills
- Performing data entry
- Composition, grammar, and spelling
- Demonstrates proficiency in personal computer applications, including word processing, spreadsheets, report generation and maintenance of databases
- Must have a working knowledge of MS Word, Excel, PowerPoint and Outlook
- Work in the probation environment
- Maintain establish and maintain effective working relationships with employees and citizens
- Communicate effectively both verbally and in writing
- Understand oral and written instructions
- Handle stressful situations with tact and diplomacy
- Work well under pressure and meet deadlines with little supervision
- Draft, edits, proofreads and prepares correspondence, works well independently
- Maintains confidentiality of work
- Understand, interpret and apply department or division policies and procedures
- Plan, organize and prioritize work assignments
- Maintain a community-oriented/problem solving approach to the work environment
- When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
- This position requires your duties to be performed in person. It is not eligible for remote work except as directed by the Court Administrator.
- Incumbent must have the ability to work any hours Monday – Friday 7:00 a.m. to 6:00 p.m.
- Light physical work lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds
- Occasional lifting, carrying, walking, and standing
- Frequent hand/eye coordination to operate computer terminal and other office equipment
- Vision for reading, recording, and interpreting information
- Frequent speech communication and hearing to maintain communication with employees and citizens.
- Essential duties performed primarily in an indoor office, public area setting
- This position requires your duties to be performed in person. It is not eligible for remote work except as directed by the Court Administrator.
- Frequently uses standard office equipment including computer, calculator, multi-line telephones, and copy/fax machines
- This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
